How It Works

Six steps from an enquiry to a working cycle. The price is fixed at step two, before anything is done and before anything is charged.

The steps

  1. 01You tell us what you runName, email, phone and a few lines about the operation. Say how many vehicles you run, whether you are a sole trader or a limited company, and what is outstanding. If we need anything else we ask in the reply rather than putting it in front of you first.
  2. 02We come back with a fixed quoteBy email. It says what is included, what is not, and the dates the work has to be finished by. If the job needs something you did not ask for, or does not need something you did, the quote says so and explains why.
  3. 03You accept, or you do notNothing is charged until you accept a quote. There is no charge for the quote itself and no obligation attached to asking for one.
  4. 04Records and accessWe send a list of exactly what we need, specific to your operation rather than a generic checklist: the finance agreement, the fuel card statements, the self-bills, the licence details. Where you are moving from another accountant we write to them for the handover.
  5. 05SetupThe bookkeeping is set up so the recurring documents post themselves: fuel card statements as purchase invoices coded by vehicle, sales or self-bills captured monthly, the vehicle recorded once and correctly.
  6. 06The regular cycleVAT returns, payroll and the figures on an agreed rhythm. Deadlines are tracked forward, so a filing date arrives as a reminder from us rather than as a penalty from HMRC.

Every engagement is a fixed fee agreed before work starts. We do not quote hourly and we do not send a bill that is larger than the quote because the year turned out busier than expected.

We have not published a price list. Haulage work varies too much between a driver’s return and a five-vehicle fleet with payroll for a headline figure to mean anything, and a starting-from price that nobody actually pays is not useful to you.

Common Questions

How quickly will you reply?

We reply by email. We have not published a response-time promise because we will not commit to a service standard we have not agreed operationally, and a made-up number in an hour or a day is worse than none. If your enquiry is time critical, say so and say what the date is.

Do I have to sign a long contract?

No. The engagement covers the work in the quote. Recurring work runs on an agreed cycle and either side can end it with reasonable notice, with a proper handover to whoever picks it up.

Can you take over from my current accountant?

Yes. We write to them for the handover information, which is normal professional practice, and agree a clean cut-off. The point worth settling early is who files the next VAT return, so nothing falls between the two of us.

What software do you work in?

Cloud bookkeeping software, and we will tell you which we recommend for your setup rather than requiring one. If you already run something that works, the default is to keep it. Digital records will be required for Making Tax Digital, so a system that is already digital is worth keeping.

Do you work with operators outside England?

The service is UK wide and remote. Operator licensing is administered by the Traffic Commissioners across Great Britain, and licensing in Northern Ireland is administered separately, so tell us where you are based and where your operating centre is.

What if I just want a question answered?

Ask it. If it is a short answer we will give you one. If it turns out to be a piece of work, we will tell you what it would cost before doing any of it.
